Timesheets
How timesheets capture worked hours and move through submission and approval.
A timesheet records the hours a user works against the projects they are assigned to, for a given week. Captured hours become the actual hours that feed utilisation, billing, and project tracking. See hour types for how baseline, forecast, actual, and billed hours relate.
Timesheet statuses
A timesheet moves through the following statuses:
- Draft: Hours have been captured but not yet submitted.
- Submitted: The timesheet is awaiting review by a resource manager.
- Approved: The hours have been accepted and locked.
- Declined: The submission was returned for correction.
An approved timesheet is not final. A resource manager can reopen a week for someone they manage, which discards the submission and makes the week editable again. See reopen an approved timesheet.
Capturing and submitting hours
Employees capture and submit their own hours each week. For the step-by-step process, see log and submit timesheets. Resource managers review submissions; see approve timesheets.
Note: Cells can be locked for several reasons, such as a pending resource allocation request or a locked invoice period. The FAQ explains why timesheet cells may be greyed out.
Overdue timesheet reminders
When timesheet submission is enabled, Consult can follow up on timesheets that were never submitted. The follow-up runs in two stages, both disabled by default:
- Consult emails the employee to tell them their timesheet for the week is overdue.
- If the timesheet is still outstanding a set number of days later, Consult emails all of the employee’s resource managers to ask them to follow up.
The employee is always reminded first, so the escalation to resource managers cannot be used on its own.
See overdue timesheet follow-up for the settings, the timing, who is chased, and what the emails contain.
