User field reference

The fields on a user profile and where each one is used.

This page describes the fields on the New User form, including their validation rules and where each one is used across Consult.

Identity and contact

  • Full Name: The user’s full name. It is the default display name, such as in lists, approval modals, and reports, and is used when searching for users in tables, dropdowns, and lists.
  • Email: The work email of the user. It also acts as the username during login, and email notifications are sent to this address.
  • Phone Number: The user’s mobile phone number, stored only as a reference for managers who need to contact the user. It must be in E.164 international format: a leading +, then the country code and subscriber number, with digits only and no spaces, dashes, or brackets. The number is typically 8 to 15 digits after the +, for example +27821234567 for South Africa or +61412345678 for Australia.
  • Job Title: The user’s job title, such as Consultant or Project Manager. Consult stores it for reference but does not use it for any functional logic.

Work context

  • Start Date: The date the user started working at the organisation, used for anniversary events on the Resource Dashboard.
  • Application Role: The user’s role, such as Admin, Manager, or Contractor. It controls which pages and views the user can access across the app. For more detail on roles, see Manage roles.
  • Reports To: The line manager that this user reports to. Consult stores it for reference but does not use it for any functional logic.
  • Country: The country where the user is based or primarily operates. It determines which public holidays are linked to the user and the default Country of projects the user creates.

Financial settings

  • Base Currency: The primary currency associated with the user. It is the reference currency for the Internal Rate and affects financial calculations, reporting, and margin computations for the user.
  • Internal Rate: The user’s hourly internal rate. It takes effect from the selected Start Date and is expressed in the user’s Base Currency. It is used widely in Consult, such as for margin and profitability metrics.

Only users with View Internal Rates among their abilities can view the sensitive financial data linked to the internal rate.
